Private event catering

Bookings & terms

Planning a wedding, birthday or another celebration? We’d love to bring the food to your event.

How to book

  1. Tell us about your event. Share your date, location, approximate guest numbers and any ideas for the food.
  2. Receive your quote. We’ll discuss your plans and send you a written quote.
  3. Secure your date. A deposit of 20% of the total invoice value secures your booking.

Your booking

Your quote and booking confirmation will include your catering style, guest numbers, service time, price and agreed extras. Please check the details before booking.

Our minimum booking is 50 guests or the equivalent spend. At current prices, that is £600 for festival style or £750 for buffet style. Travel and agreed extras will be included in your quote.

Choose five pizzas from our menu for either service style. Festival-style pizzas are made to order and served in our branded boxes. Buffet pizzas are sliced for guests to help themselves, and we recommend one 12-inch pizza per guest. Optional sides can be discussed.

Final details and payment

Please confirm your final guest numbers, pizza choices and dietary requirements seven days before your event. Your remaining balance is also due seven days before the event.

For short-notice bookings, we’ll confirm payment and final detail arrangements in your quote.

Service and travel

Our standard event package includes a two-hour service window and at least two chefs. We usually arrive two to three hours before service to set up. If you need a longer service window or would like us to dress up for your event, let us know and we can discuss it.

We’re based in Basingstoke, Hampshire. The first 15 miles of the total return journey are included. After that, travel is charged at £1.50 per mile. For example, a 45-mile return journey has 30 chargeable miles, so the travel charge would be £45. Any travel charge will be set out in your quote.

Venue and setup

Please share the venue address and any information about access, parking and catering requirements. You are responsible for obtaining any permissions or approvals needed for us to cater at your event, including permission from the venue. We’ll discuss setup with you before confirming your booking.

We currently operate from a 3m by 3m gazebo and bring appropriate weights to secure it. Please make sure there is enough suitable space for us to set up safely.

Come rain or shine

We’re happy to cater in rain or shine, so rain alone does not mean we need to cancel. If you’re concerned about the forecast, please get in touch as soon as you can. We can discuss moving your booking to another available date under the date-change terms below. If you choose to cancel because of rain, our cancellation terms below apply.

If weather conditions make it unsafe for us to travel, set up or serve, we’ll contact you to discuss the options. Your legal rights and the cancellation terms below still apply.

Allergies and dietary requirements

Please tell us about any allergies, intolerances or dietary requirements when you enquire, and confirm them seven days before your event. Bases made without gluten-containing ingredients and vegan cheese can be requested. Because of the way we prepare and cook our food, cross-contact with gluten, dairy and other allergens can occur, so we cannot provide allergen-free meals. Please speak to us about your guests’ needs before booking.

Changes to your booking

If your venue, service time, menu or guest numbers change, please let us know as early as you can. Changes are subject to availability and agreement. We’ll discuss any effect on the price before confirming.

If you need to cancel

We understand that plans can change. If you need to cancel your event, please email us at office@rollingflamespizza.com as soon as you can.

We may need to make a reasonable cancellation charge to cover costs or losses caused by the cancellation. This could include ingredients or other event-specific expenses we’ve already paid for and cannot recover, or losses from reserving your date.

We’ll take reasonable steps to reduce any losses, including considering whether we can take another booking. We’ll explain any charge and how we worked it out.

Your deposit and any other payments you’ve made will count towards any cancellation charge. You won’t be charged twice for the same loss. If you’ve paid more than the amount due, we’ll refund the difference.

If you need to change your date

If you need to move your event, we’ll do our best to find another date that works for you.

We offer one date change without an administration fee, subject to availability. If we agree a new date, we’ll transfer your deposit to the rearranged booking. If the change affects the price or involves additional costs, we’ll talk these through with you before you decide.

If we can’t find a suitable alternative date, you can cancel under the terms above.

If we need to cancel

If we’re unable to attend your event, we’ll let you know as soon as possible. We’ll discuss the options with you, which may include an alternative date or a refund for services we cannot provide.

Unexpected circumstances

If circumstances outside either party’s reasonable control affect the event, we’ll contact each other as soon as possible and discuss the options. These may include changing the arrangements, postponing or cancelling. Any refund or costs will depend on the circumstances and your legal rights.

Questions or concerns

We want your event to go smoothly. If you have a question or a concern about our service, please email office@rollingflamespizza.com so we can discuss it.

Your legal rights are not affected by these terms.
